With the system divided into 7 different regions, inconsistent use of available USPS discounts, multiple concerns over PHI protection during the mail sorting and delivery process, and unapproved procured services and equipment were found.
OMG created 2 centralized mail hubs for the 7 regions. They negotiated new presort rates, engaged with the equipment vendor for a centralized mail process, and engaged in the education of staff on mail piece creation and mail hub capabilities.
The results were rightsized staff, elimination of over 200 pieces of equipment which saved $539,000, and the implemented systems saved $400,000 annually.
